Terms and Conditions of booking.

1. ACCURACY

Although every effort has been made to ensure the accuracy of the information in our brochure, on our website and printed media, Golf Event Management Wales Ltd, now herin called GEM Wales, cannot accept responsibility for any errors or omissions and reserve the right to vary, amend or cancel any of the packages advertised should we find such alterations necessary.

2. METHODS OF PAYMENT

Cheques should be made payable to GEM Wales Ltd. Please clearly write your booking number on the back of the cheque.

3. DEPOSITS

If your travel date is more than eight weeks from the time of booking a deposit of £100 per person or 35% of the total booking is required to secure the booking and reserve accommodation, whichever is the lesser. If you are confirming your booking by sending a signed booking form, deposits are payable within two weeks, after which time, in the absence of satisfactory receipt of the deposit, GEM Wales reserve the right to cancel the booking with the venue. Deposits are non-refundable in the event of a cancellation or a reduction in the number of your group.

On receipt of your deposit, which is treated as part-payment of your golf break, we will issue you with a confirmation/invoice. This will show the balance to be paid and the date by which it is due.

4. BALANCES

The balance of your golf break must be paid not later than six weeks before the departure date. Bookings made less than 6 weeks before departure must be paid in full at the time of booking. If the balance is not paid by the due date, GEM Wales reserve the right to cancel the booking with the venue and retain your deposit

5. PRICING

Golf breaks are based as stated in the respective illustration with full use of hotel facilities included where available. Prices are based on twin occupancy of hotel rooms and are subject to change. Single room supplements apply to all hotels.

6. CONFIRMATION OF BOOKING

A booking can be made with GEM Wales in either of the following ways:
(i) Faxing or posting a signed booking form (ii) Making payment

7. HANDICAP CERTIFICATES

Some venues will require handicap certificates before accepting visitors, which we will endeavour to advise you of at the time of booking. Whilst a certificate of playing ability is not essential on all courses, knowledge of etiquette and the rules of golf is expected and each venue reserves the right to refuse access if it is judged that individuals do not display the required knowledge. GEM Wales cannot be held responsible in these circumstances.

8. DRESS CODE

Appropriate dress should be worn at all times on the course and in the clubhouse. GEM Wales carry no responsibility in any ruling by the venue if any of the group is unable to play due to inappropriate attire.

9. TEE-TIMES

We will do everything possible to confirm your requested tee times, however venues do reserve the right to alter preferred tee times. If for any reason your tee times should not be available, as part of our service we will offer you the nearest possible alternative. Tee times may be based on playing in four balls and therefore you may be paired up with other golfers on the day.

10. PLAYING CONDITION

Although the standard of courses at our venues are inspected on a regular basis, their actual playing condition may vary from time to time. Hollow tining is an essential part of course maintenance and as the timing depends on weather, we are not always aware of when this will occur. GEM Wales cannot be held responsible for the condition of the course during your golf break.

11. FACILITIES

Whilst we make every effort to validate the standard and availability of facilities at the venue you have booked, please note that we are acting as an agent for the venue. It is the responsibility of the venue to make your stay comfortable during your golf break. If you have a complaint during your golf break please inform the duty manager, who will do their best to help you straight away. If the matter cannot be rectified, you must notify us in writing, within two weeks of completion of your golf break. Whilst we will not accept liability in respect of any claims made we will, if reasonably requested by you, use our relationship with the venue as leverage to seek any compensation due to you.

12. CANCELLATIONS/AMENDMENTS

You may change numbers or cancel your golf break at any time provided that the person who originally booked the break gives notification. In the event of a reduction in numbers or cancellation, prior to the final balance being paid, we will retain £50 per person cancellation fee. Cancellations made after final balances have been paid will result in a forfeiture of all monies paid.

13. Winter Weather Policy

As bad weather is inevitable during the course of the year (especially in the low season October – March) venues may either close the course or operate temporary greens at their sole discretion.

We call the courses each morning when poor weather conditions prevail and will keep this information as up to date as possible. If courses are closed, as part of our service, we will try and notify you prior to your departure without guarantee.

Should you choose not to travel, subject to our cancellation agreement with the venue, we will try and postpone your golf break with the venue. No refunds are available under any circumstance for cancellations made due to course closure.

During your golf break

Golf played on temporary greens and tees is non-refundable and is considered to be an accepted part of playing winter golf.

If you are unable to play golf on your golf break due to course closure we will, without guarantee and at the venue's discretion, try and obtain a partial refund or green fee vouchers for the golf element of the package. It is however worth noting that we sell winter packages at a discounted rate and so any refund will not be equivalent to the full green fee and with some packages the golf element is considered complimentary.

Each venue sets its own policy for course closure. As an agent we are committed to paying in full for the initial package booked on your behalf, therefore all decisions regarding partial refunds or green fee vouchers are solely at the discretion of the venue and are final. GEM Wales cannot be held responsible should inclement weather prevail.
